Home / landing page options

Global search

Use this option for a general search across the whole database - hence, generalised results. This includes Description, Producers, Chapters and Management.

When you view a table the records / items are repeated if more than one producer and / or chapter is associated.

On the top of the home / landing page the search option at the top of the page for the same results.

Global description search

Use this option for a general search across the whole database - hence, generalised results but more limited compared to Global Search. This includes Description and Management.

Unlike the Global Search, records / items are not repeated if more than one producer associated.

Producers

The is a useful option that only looks up Producers - simply select from the list to view the particular author. The look up also offers a way of limit look up list - if you have a lot of authors recorded the list can be unwieldly. Simply enter letters starting a Surname / Identity, alternatively, leave blank for complete list.

Pages through sequence of images associated with items.

Advanced search

This option is similar to the Global Search but offers ways of limiting / filtering the results:

• All: show report results with all items.
  
• Current: show report results with only the items have been stock taken
  
• Not Current: show report results with only the items that have not been stock taken
  

Specific search options

Available when selecting Producers, Description or Management - top menu

Producers

First select the search field / category from the list and only that specific field will be searched according to the term(s) you enter.

Enter and term and note: if, for example, you enter:

• Will - you will get more results than entering William.
  
• William - you will get more results than entering William Kentridge
• William Kentridge - you will get least results
  

Description

First select the search field / category from the list and only that specific field will be searched according to the term(s) you enter.

Enter and term and note: if, for example, you enter:

• mount - you will get more results than entering mountain.
  
• mountain - you will get more results than entering Table Mountain
• Table Mountain - you will get least results
  

Other look up options also available:

• Look up Quantity greater than 1 - for filtered results of all records with a Quantity greater than 1.
  

• Look up number of records according to Classification ID - enter the full Classification ID for specific results - or enter part of the Classification ID for general results:
  

Management

First select the search field / category from the list and only that specific field will be searched according to the term(s) you enter.

Enter and term and note: if, for example, you enter:

• One - you will get more results than entering Building One.
  
• Building One - you will get more results than entering Main Building One
• Main Building One - you will get least results
  

Other look up options also available:

• Look up LOCATIONS (buildings) - select from a list of all records with data in the field.
  
• Look up SOURCE (external) - select from a list of all records with data in the field.
